The Quarterly New Hires Canada report has been customized, but I don't actually need to log in and hit run report every quarter.
Instead, I can schedule it to be run and delivered directly to my HR partners in Canada.
I'll select the schedule tab to begin. And I do want it to recur so I'll say, 'Recurring.'
The start date looks good to me, January of 2023, and the start time of 12 a.m.—can select anything let's go with 1 a.m.
And while I'm at it, I do want to point out that all times in EquiView are Eastern. So, please keep that in mind when you're configuring your own reports.
Now, if I want I could switch the calendar type to 'Fiscal,' but I don't need to do that today, and we do want this recurrence to be quarterly. So, I've got a quarterly report starting at the beginning of the quarter.
And now I want to set the parameters for when it should be delivered, right? And it's good on the first, but I'm going to say, 'Business' day of the calendar quarter.
And if I wanted, I could fudge this. I could add a couple of days—business, calendar, or market days—if that was important.
Now ...
I can also—but I won't be for today—I can also configure a dependency. Maybe this particular New Hire report is dependent on a different report running—because I've got several scheduled here—and running successfully.
So, I could do that if need be, but I don't need to do that for today.
On to delivery then ...
I want to send this to the general HR group, so I'll select that here.
And I have some format options. 'Excel' works for me.
And I do like the file name is including the ticker at the front of it, and I'll show you what that looks like. So, we've got the ticker prefix preset, and then the report name. And I do want to add the date as a suffix so my HR partners know the quarterly report, when it was run.
If there were a secure FTP connection, I could check this box and have that capability, right, have that report delivered via a different method. But we don't have that, so I'll leave that alone.
Now, what if there were no new hires in our Canadian office for the quarter?
Should we deliver a blank file? Depending on your firm's requirements, you may not need those, maybe you do need those. You need to evidence that every quarter. I'm going to go ahead and check that box for that evidence.
Now, when the file is run on success I do want to notify the HR team. So, that looks good to me.
If the file fails for any reason, I do want to notify a different team, so I'm going to choose the 'Report Failure' team.
Now, if that file was blank for the previous quarter, I don't really need to bother notifying the 'HR/People Team' about a blank file to pick up. So, I'm just going to check this box to only notify them if data exists. That way, they can get on with—they can assume, right, that there was no data—which is why they didn't pick up the file.
I also want to include 'Notification Text,' which I can drop into this area right here.
'Hello HR, the Quarterly New Hires Canada report is ready.' That's it.
I just need to go to the top now ... click 'Save Template' where I can save my settings to the existing report.
Once that is done, I can head over to the 'Schedule' tab to verify. The next time this report will run is April 3rd which is, in fact, the first business day of the next quarter.
Finally, I should mention that you may want to work with the SPS Client Services team to establish the appropriate access level for any of your colleagues who need to pick up these reports, so that you know that when they log in, they can only see the reports that are appropriate and nothing more.
